BlackstoneOne provides a Nordic cybersecurity platform that helps businesses identify, prioritize, and manage vulnerabilities across their digital infrastructure. To create a stronger connection between sales and finance, BlackstoneOne uses Zoho One, including Zoho CRM, Forms, Analytics, Campaigns, and Desk. To further streamline its workflows, the company chose to implement CRMzone's integration between Zoho CRM and e-conomic.

The Challenge

Before implementing the integration, several business processes relied on manual work and duplicate data entry. 

Customer information had to be entered in multiple systems, increasing the risk of errors and outdated addresses or contact details. At the same time, invoices were created manually, which could result in incorrect products, pricing, subscription periods, or revenue recognition. 

When a salesperson created a new customer or closed a deal, there was no guarantee that all required information had been entered correctly from the outset. This created additional administrative work for both the sales and finance teams and made it more difficult to maintain high-quality data.

BlackstoneOne therefore needed a solution that would create a seamless connection between its CRM and accounting system, reduce manual work, and ensure that data only had to be entered once.

The solution

BlackstoneOne was already using Zoho CRM as the core of its sales process. Together with CRMzone, the company expanded the solution by implementing
the integration between Zoho CRM and e-conomic. 

The integration synchronizes customer data, products, orders, and invoices between the two systems, ensuring that both the sales and finance teams always work with the same information. 

When a salesperson closes a deal in Zoho CRM, a pro forma invoice can be created directly within the CRM. The invoice is then automatically synchronized to e-conomic, where the company can choose whether it should be sent directly to the customer or reviewed and approved by the finance team first.

Approval workflows and business rules were also implemented to ensure that changes to payment terms and other key information are handled correctly. This helps maintain both data quality and control across the organization. 

For BlackstoneOne, it was particularly important to support subscription management and renewals. The solution was therefore designed with a strong focus on automation, accurate data, and efficient collaboration between sales and finance.
